We reserve the right to amend these Terms and Conditions from time to time. Any changes will be posted here.

By registering for the retreat, participants acknowledge that they have read, understood, and agreed to abide by these terms and conditions.

    • Registration for the retreat is confirmed upon receipt of deposit.

    • Deposits are non-refundable.

    • Payment must be made by the specified deadline to secure your place at the retreat.

    • We accept payment via Squarespace.

    • All payments shall be made in U.S. Dollars (USD). Payments made in any other currency may be subject to currency conversion fees.

  • By paying your $500 deposit, you confirm that you have read, understood, and agreed to the Hey Bestie! Reading Retreats Booking Terms & Conditions as outlined below. This constitutes a binding agreement between you and Hey Bestie! Reading Retreats.

    • A non-refundable $500 deposit is required to secure your place.

    • The remaining balance is due 60 days before the retreat start date.

    • Payments are processed via Stripe using the payment link provided.

    • Your booking is not considered confirmed until the deposit has been received.

    • All guests are responsible for obtaining their own travel insurance to cover unforeseen events, cancellations, or delays.

    • By completing your payment, you confirm that you have read and accepted these terms and conditions.

    • In the event of a cancellation, the non-refundable deposit amount of $500 will be retained from the total payment to cover administrative and operational costs, regardless of the payment method used. Any remaining eligible refund will be processed in accordance with our standard Cancellation and Refunds policy, below.

    Please note that your booking is made subject to the cancellation and refund policies detailed below.

    Alternative Payment via Klarna

    If you would like to split your payments, you can do so easily through Klarna.

    Participants have the option to  arrange split payments directly with Klarna at checkout. When selecting this option, your booking will be confirmed once the Klarna transaction has been successfully completed — no separate deposit payment to Hey Bestie! is required.

    Please note that any payment plans agreed with Klarna are a separate financial agreement between you and Klarna. Hey Bestie! is not responsible for the administration, terms, interest, or fees associated with your Klarna account. Any missed payments or financial disputes with Klarna must be resolved directly with them.

    • Cancellations made 30 calendar days or more before the retreat start date will receive a full refund minus any applicable transaction fees and deposit.

    • Cancellations made within 29 calendar days of the retreat start date are non-refundable.

    • Refunds will be processed within 10 business days of receiving the cancellation request.

    • A non-refundable deposit is required per person to secure your spot. The full balance can be paid in installments, and the final balance must be paid 60 days before departure.

    • If full payment is not paid by the date specified, the balance paid up until this point will not be refunded.

    • In the event that a customer is not entirely satisfied with the retreat, they may request a partial refund within seven days of the retreat's conclusion. Requests submitted after this period shall not be entertained.

    • In the event of a cancellation, the non-refundable deposit amount of $500 will be retained from the total payment to cover administrative and operational costs, regardless of the payment method used. Any remaining eligible refund will be processed in accordance with our standard Cancellation and Refunds policy.

    We are not responsible for cancelled, delayed, or missed flights, and no refunds will be issued in relation to travel disruptions caused by airlines, airports, or personal circumstances. Participants are strongly encouraged to purchase comprehensive travel insurance.

    Deposit Non-Transferable Policy
    Please note that deposits paid for one retreat are non-transferable and cannot be moved or applied to future trips. Should you wish to attend a different retreat, a new booking will need to be made, and a new deposit must be paid. Deposits are final and non-refundable, as stated in our cancellation policy.

    Non-Responsive Bookings
    If a participant fails to respond to communication and does not make payment by the specified deadlines, their place at the retreat may be forfeited at the discretion of the organizer. In such cases, no refund will be issued, including the deposit. It is the participant’s responsibility to ensure timely communication and payment in accordance with the retreat schedule. The organizer reserves the right to offer the space to another guest if communication is not received within a reasonable period.

    Shared Room Booking Policy: When booking a shared room, both guests are jointly responsible for the total cost of the room. If one guest is no longer able to attend, the remaining guest has the following options:

    • Find a Replacement: The remaining guest may find someone to take over the shared booking. This replacement must be approved by the organiser and is subject to availability and suitability.

    • Upgrade to Solo Occupancy: If no replacement is found, the remaining guest will be required to pay the difference between the shared room rate and the solo occupancy rate in order to retain the room.

    Failure to arrange a replacement or cover the solo occupancy fee may result in forfeiture of the booking, in accordance with the standard cancellation policy.

    • Cancellation by Us

    We reserve the right to cancel the retreat in the following circumstances:

    • Insufficient Participants: If the minimum number of participants required to run the retreat is not met.

    • Force Majeure: Circumstances beyond our reasonable control, including but not limited to natural disasters (e.g., wildfires, floods), pandemics, civil unrest, extreme weather events, or government-imposed travel restrictions.

    • Other Reasons: In rare cases, we may need to cancel the retreat due to unforeseen circumstances such as staff illness or venue-related issues.

    If we cancel the retreat:

    • We will notify you as soon as possible.

    • You will be offered a full refund of all payments made for the retreat.

    • Alternatively, you may choose to transfer your payment to a future retreat, subject to availability.

    Please note: Hey Bestie! cannot be held liable for any additional expenses, such as flight costs, accommodation outside of the retreat, or loss of income due to a cancellation. We recommend securing flexible travel options and appropriate insurance to protect against such risks.

    • Participants are responsible for booking and funding their own travel to and from the retreat location.

    • Participants must inform the organizers of any medical conditions, allergies, or dietary restrictions prior to the retreat.

    • Participants must inform the organizers of any imminent safety concerns and of any orders of protection in effect on their behalf, or recently expired. 

    • Participants are expected to adhere to the schedule and guidelines provided by the retreat organizers.

    • Any damage to property caused by participants will be the responsibility of the individual(s) involved.

    • To help everyone stay present and enjoy the retreat, we ask our participants to avoid using phones, laptops, and other non-reading technology except when truly necessary

    • We ask that phones and laptops stay in the participant’s room throughout the trip.

    • No technology, except for e-readers, are permitted at meal times

    • If you need an exemption from this policy, please talk to the hosts and we will try to accommodate

    • Participants are required to comply with all health and safety measures implemented by the retreat organizers.

    • Participants are encouraged to acquire travel insurance and are responsible for securing their own coverage.

    • The retreat organizers are not liable for any injuries, illnesses, or accidents that occur during the retreat. 

    • The retreat organizers reserve the right to make changes to the itinerary, activities, or accommodations due to unforeseen circumstances or factors beyond our control.

    • Participants will be notified of any significant changes to the retreat schedule as soon as possible.

    • Participants acknowledge and accept any inherent risks associated with participating in the retreat. 

    • The retreat organizers, including their employees, agents, and affiliates, shall not be held liable for any loss, injury, damage, or expense incurred during the retreat.

    • Participants must consent to the use of their likeness in photographs, videos, or promotional materials related to the retreat.

    • Any photographs or videos taken during the retreat may be used for promotional purposes by the organizers.

    • Participant information collected during the registration process will be used solely for the purpose of organizing and administering the retreat.

    • We are committed to protecting the privacy of our participants and will not disclose personal information to third parties without consent, except as required by law.

  • Governing Law

    • These terms and conditions shall be governed by and construed in accordance with the laws of the State of Colorado in the United States of America.

    • Any disputes arising from or related to the retreat shall be resolved through arbitration in Colorado.

    Dispute Resolution

    We are committed to providing a positive and supportive experience for all participants. In the unlikely event that a dispute arises between you and Hey Bestie! Reading Retreats in connection with the retreat, we ask that you first contact us directly at heybestie@heybestieretreats.com so we can work together to resolve the matter informally.

    If we are unable to reach a satisfactory resolution within 30 days, both parties agree to resolve the dispute through binding arbitration rather than in court. The arbitration will be conducted in Colorado in accordance with the rules of the Judicial Arbiter Group or another mutually agreed upon arbitration service.

    By registering for the retreat, you waive any right to participate in a class action or jury trial. Each party shall bear its own legal costs unless otherwise determined by the arbitrator.

    This process helps us avoid lengthy legal proceedings and instead focus on reaching a fair and efficient outcome for everyone involved.
